Instalment Reminders and Collections by Call Center and WhatsApp

A guide for Egyptian finance, instalment and insurance companies: reminders before the due date, respectful scripts, calling hours, call recording, quality scorecards and a do-not-call list.

Consumer finance, instalment, microfinance and insurance companies depend on one thing: customers paying on time. Most late payments are not refusals. They are forgetfulness, a temporary problem, or not knowing how to pay.

So much of collections can be solved before it becomes collections, with instalment reminders at the right time and in the right way. What comes after the due date needs an organised, respectful and well-supervised team.

This article is a practical plan for both.

1. Segment customers by stage

Do not treat every customer the same. Split them:

  1. Before the due date: a friendly reminder.
  2. On the due date: a reminder with the amount and payment options.
  3. Slightly late: follow-up by an agent.
  4. Later: a specialist team and a repayment plan.

Each stage has its own channel and tone.

2. Reminders before the due date

This is the cheapest and calmest part:

  • An approved WhatsApp template message a few days before: amount, date and payment options.
  • An SMS for customers not on WhatsApp, through your company's own SMS gateway.
  • An IVR call or an AI agent call for a spoken reminder in a natural Arabic voice, with hand-over to an agent.

Keep it short, clear and free of any threatening tone.

3. After the due date: the call center

Now the agent needs to be prepared:

  • Use preview or progressive dialing, so the agent sees the customer and instalment details before they answer.
  • Automatic overdue lists refreshed daily, with no spreadsheets sent by e-mail.
  • Every call gets an outcome: promise to pay on a date, rescheduling request, wrong number, refusal, do-not-call request.
  • A promise to pay becomes a follow-up task on that date.

4. Respectful scripts

A good script protects the customer, the agent and the company. Essentials:

  • Introduce yourself and the company at the start.
  • Confirm you are speaking to the account holder before mentioning any financial detail.
  • State the amount and date calmly and ask whether something prevented payment.
  • Offer the available payment methods and help them choose.
  • Listen: if there is a genuine hardship, record it and pass it to the right team.
  • Never: threaten, insult, contact relatives or neighbours to expose the debt, or promise anything outside your authority.

Because rules differ by type of company and activity, check your collections policy with your company's legal adviser.

5. Calling hours and the do-not-call list

  • Set calling hours in the dialer itself, so the system never calls outside allowed times even if someone forgets to stop a campaign.
  • Set a maximum number of attempts per day.
  • When a customer asks for a specific channel or asks not to be called, record it on the do-not-call list and apply your company's policy.
  • Handle data with Egypt's Personal Data Protection Law No. 151 of 2020 in mind.

6. Recording and quality

In collections, recording is not optional:

  • Record every call and link it to the customer record.
  • Back up recordings to your own storage (SFTP, S3 or Google Drive) if your policy requires it.
  • Quality scorecards with clear items: introduction, identity check, tone, payment options offered, script compliance.
  • Quality AI fills scorecards with evidence quotes from the call and alerts you to critical failures.
  • Agents see their evaluations and can dispute them; team leaders add coaching notes.

7. Reports that matter

  • Calls and attempts per agent and campaign.
  • Promises to pay and how many were kept.
  • Customers nobody has reached.
  • Quality results per agent.

Quick checklist

  • Customers segmented by due-date stage.
  • WhatsApp and SMS reminders before the date.
  • Spoken reminders by IVR or AI.
  • Preview or progressive dialing for late accounts.
  • A respectful, reviewed script.
  • Calling hours, attempt limits and a do-not-call list.
  • Recording, backup and quality scoring.
