This policy explains how Klamna ("we") handles personal data when you use our website and platform. In Egypt, Klamna is provided by Etisalna for Information Technology (اتصالنا لتقنية المعلومات), based in Cairo, Arab Republic of Egypt, commercial registry no. 197890.
1. Our role
- Your account and our website: we are the controller.
- Your customers' data (contacts, calls, recordings, chats, tickets, invoices) that you enter or that arrives through your channels: we process it on your behalf as a processor, following your instructions; you are responsible for having a lawful basis to collect it.
2. Data we collect
- Account data: name, e-mail, mobile number, company, users and their permissions.
- Usage and security data: sign-in logs, IP addresses, device and browser type, audit logs.
- Billing data: subscription, balance, transactions and the tax details needed for invoices.
- Communications processed for you: call records and recordings when recording is on, chat content, attachments.
- Website form: what you enter when you ask us to contact you (name, company, phone, e-mail, interests, message).
- Cookies: essential cookies for the site to work; analytics and marketing cookies only with your consent.
3. Purposes
Providing and operating the service, creating and verifying accounts, billing and tax invoices, support, security and abuse prevention, improving the platform, contacting you about your request or subscription, and marketing where you agree.
4. Legal basis
We process data under Egypt's Personal Data Protection Law No. 151 of 2020 and its executive regulations once issued and in force, on the basis of performing our contract with you, legal obligations (such as e-invoicing), our legitimate interest in securing and improving the service, and your consent where required.
5. Artificial intelligence
AI features are optional and run on your own OpenAI account. No data is sent to the AI provider except for features your account administrator switches on, and only what the feature needs (for example a chat transcript to summarise it, or a call recording to transcribe it). This is also subject to the AI provider's terms.
6. Sharing
We do not sell personal data. We share it only with service providers needed to run the platform: cloud hosting providers, telecom carriers and line providers, Meta (WhatsApp, Messenger, Instagram) when you connect those channels, our payment provider Kashier and its partners, the Egyptian Tax Authority for e-invoicing, the AI provider when enabled, or when required by law or a competent authority.
7. Hosting and transfers
The platform is hosted with trusted cloud service providers. Where personal data must be transferred outside the Arab Republic of Egypt (for example to some global providers), we follow the cross-border transfer rules of Law No. 151 of 2020.
8. Retention
We keep data for the life of your subscription and afterwards as the law requires (for example tax records). You can set retention for recordings and messages in your account, delete data, or ask us to delete your account.
9. Security
We use encryption in transit, two-factor sign-in, role-based permissions, audit logs, backups and monitoring. No system is perfectly secure; we will notify the competent authorities and affected people of any personal data breach as the law requires.
10. Your rights
You may ask to know what data we process about you and receive a copy, correct or update it, have it erased, object to or restrict processing where applicable, and withdraw consent at any time. To exercise your rights, contact us through the contact page at klamna.io/contact. If your data is held by one of our customers (for example you contacted a company that uses Klamna), please contact that company first; we will help them respond.
11. Cookies
We use essential cookies to run the site and remember your language, and analytics or marketing cookies only after you accept them in the consent banner. You can change your choice in your browser.
12. Children
Our services are for businesses and are not directed at anyone under 18.

We may update this policy; the updated version is published here with its last-updated date, and we will tell you about material changes.
