The first few seconds of a call shape what the customer thinks of your company. A clear greeting, simple options and a quick route to the right team say "we are organised". Endless ringing or being passed from person to person says the opposite. That is why an IVR system is the first thing we set up with every company.
In Klamna, the IVR is part of the cloud call center. You build it in the browser, with no hardware and no PBX technician.
What you can build
- A greeting in the voice you choose, with a different message per menu.
- Numbered options and sub-menus.
- Working hours and holidays, so calls follow another path after hours.
- Call routing to a queue, an extension, another menu or an external number.
- Queues with hold music, position announcements and overflow when the wait grows.
- Callback: the caller hangs up and the system calls back when an agent is free.
- Voicemail per team or person, after hours or when nobody answers.
- A WhatsApp message to the caller after a queue call.
Example menu structures
Replace the text in braces with your own details.
Example 1: a service company with two teams
"Welcome to {company name}. For sales, press 1. For customer service and support, press 2. To hear these options again, press 9."
- 1 → sales queue.
- 2 → customer service queue, offering a callback when the wait grows.
- After hours → "Our working hours are {days} from {time} to {time}", then voicemail.
Example 2: a clinic
"Welcome to {clinic name}. To book or change an appointment, press 1. For lab results, press 2. For emergencies, press 0."
- 1 → reception queue, or an AI booking agent that books from the doctors' schedule.
- 2 → lab extension.
- 0 → forward to the on-call doctor.

Example 3: an online store
"Welcome to {store name}. To follow an existing order, press 1. For a new order, press 2. For exchanges and returns, press 3."
- 1 → customer service queue; the agent sees the customer's orders on the record.
- 2 → sales queue.
- 3 → returns queue, with a WhatsApp message listing the return steps after the call.
Greeting rules that work
- Keep it short: company name and a welcome line.
- Put the most common reason on option 1.
- No more than four or five options per menu.
- Offer repeat, and send callers who press nothing to a person instead of hanging up.
- If you record calls, add a short notice; see call recording.

AI voice agent (optional)
Instead of "press 1", callers can simply say what they need. The AI voice agent is an optional add-on on your own OpenAI account. It answers in a natural voice in Arabic or English, replies only from your knowledge base without inventing prices or promises, can book appointments or take requests, and hands over to a person when needed. Use it after hours only, or for one team, while the rest stays on the regular menu.
Your numbers
The IVR runs on the lines you connect. Klamna does not sell short hotline numbers and is not a licensed telecom operator in Egypt: connect your existing lines from your telecom provider over a SIP trunk, or ask our sales team about the numbers available. Thinking about a hotline? Read our hotline number guide.
Steps to go live
- Sign up and pick your business; the template creates a starter IVR, working hours and a queue.
- Connect your line to the cloud PBX.
- Upload your greeting and adjust the options.
- Call yourself and test every option, in and out of hours.
- After a week, check the call reports to see which options callers choose most.
