If your sales or collections team still dials by hand from a spreadsheet, most of their day goes on things that are not conversations: finding the number, pressing buttons, waiting for rings, and calls nobody answers. That is what an auto dialer fixes.
But "auto dialer" covers several dialing modes, and each one fits a different kind of work. This guide explains the difference in practical terms so you can choose the right one.
The main dialing modes
1. Preview dialing
The agent sees the customer's details before the call: name, last contact, notes, the order or instalment due. When ready, the agent clicks to call, or the system dials after a few seconds.
Best for: calls that need preparation, such as a real-estate lead interested in a specific unit, a customer with a complex balance, or B2B accounts.
2. Progressive dialing
The system dials the next number as soon as the agent finishes the previous call and saves the outcome. One call per available agent, so no customer answers to silence.
Best for: mid-size teams, new-lead follow-up, order confirmation, appointment reminders.
3. Predictive dialing
The system dials several numbers per agent at once, expecting that some will not answer. When someone picks up, the call goes to a free agent. It usually comes with answering-machine detection, so voicemail greetings never reach your agents.
Best for: large lists, a reasonably large team, short and similar calls.
A word of caution: an aggressive predictive setting can leave customers waiting after they answer. That annoys people and hurts your brand. Start conservative and watch the results.
4. IVR campaigns
An automated call plays a recorded message with options: "press 1 to confirm, 2 to speak to an agent". No agent is on the call at first, and anyone who needs help is passed to the queue.
Best for: simple reminders, confirmations, and announcements that need a one-key answer.
5. AI agent calls
An AI agent speaks with the customer in a natural voice, in Arabic or English. It confirms an order or appointment, or reminds them about a payment, saves the outcome, and hands over to a person when asked.
Best for: repetitive calls with a clear script, and taking load off the team at busy times.
A quick decision guide
- Small list, customers who need preparation: preview.
- Fresh leads from ads that need speed: progressive.
- Very large list and a big team: predictive with answering-machine detection.
- One message answered with a key press: IVR campaign.
- A repetitive script you want off your team's plate: AI calls with hand-over to an agent.
Many companies combine modes: IVR or AI for the first reminder, then progressive for people who did not answer or asked for an agent.
Dialers in sales
Sales is about speed and order:
- New leads land in an automatic list the moment they arrive from web forms or Facebook and Instagram lead ads.
- The agent sees the lead source and ad before speaking.
- Every call gets an outcome: interested, call back, not interested, wrong number.
- Call-backs are scheduled automatically instead of relying on memory.

Dialers in collections
Collections calls need more care:
- Start with preview or progressive rather than predictive, so the agent knows the balance before the customer answers.
- Use automatic lists for overdue invoices, refreshed every day.
- Record calls and review them with a quality scorecard.
- Keep the tone respectful and clear: amount, due date, payment options. No pressure or threats.
Rules every dialer needs
- Calling hours: the system never calls too early or too late, even if someone forgets to stop a campaign.
- Do-not-call list: anyone who asks not to be called again is recorded and removed from every campaign.
- Attempt limits: do not call the same number twenty times.
- Call recording: for quality, training and resolving disputes.
- Clear reports: calls, answers and outcomes per agent and per campaign.
- Personal data: handle customer numbers with Egypt's Personal Data Protection Law No. 151 of 2020 in mind.
Common mistakes
- Running predictive dialing with three agents.
- Uploading an old list full of duplicates and wrong numbers without cleaning it.
- Not saving call outcomes, so nobody knows who spoke to whom.
- Keeping the dialer apart from WhatsApp and the CRM, so the customer talks to one agent by phone and another on WhatsApp and nobody sees the history.
