Lead follow-up is where ad budgets either turn into sales or quietly disappear. A company can spend on Facebook and Instagram ads and collect plenty of leads, and then those leads sit in a spreadsheet, an unread e-mail, or with one busy sales rep. This guide walks through it step by step: capturing leads automatically from every source, removing duplicates, assigning leads in turn, sending a WhatsApp welcome right away, calling through the dialer, following a clear cadence, and measuring results by source and campaign.
What lead follow-up means
A lead is someone who showed interest: filled in an ad form, signed up on your website, or asked about a project. They are not a customer yet, and you do not know yet whether they are serious. Lead follow-up is the organised process that turns that interest into a decision: either they become a customer, or you learn they are not a fit right now and close them with a clear reason.
It has five stages:
- Capture: the lead reaches the system without copy and paste.
- Clean-up: remove duplicates and record the source.
- Assignment: a clear owner for every lead.
- Contact: the first message and first call, then a follow-up plan.
- Measurement: which source and campaign bring leads that actually convert.
Capture leads from every source in one place
Rule one: no lead is moved by hand. Every manual step means delay, mistakes and lost leads. Klamna lead capture brings in:
- Website forms: embed a form on any page; the lead goes straight into the CRM.
- Facebook and Instagram lead ads: delivered automatically.
- TikTok lead ads: the same way (lead ads only, not conversations).
- Google Ads lead forms: via webhook.
Each lead keeps its source, campaign, ad and UTM data, so later you know which ad brings serious leads, not just many leads.
De-duplication: one person, one lead
People fill a form twice, or sign up from a Facebook ad and then from your website. Two leads can mean two reps calling the same person on the same day, which looks bad and spoils your reports. In Klamna, if the same phone number or e-mail arrives again within 24 hours, it is merged into the existing lead.
Tip: ask for the mobile number in a clear format (for example with the +20 country code), so matching works and WhatsApp and calls get through.
Assigning leads to sales reps
Assignment causes most of the friction in sales teams: who took this lead, why did someone get the good ones, why did nobody call this one?
Rules that fix it:
- One owner per lead: a specific user, or a team in turn.
- Round robin inside the team: each new lead goes to whoever is next, so distribution is fair.
- Instant notification: the rep knows the moment a lead is assigned.
- Rules by source or project: for example leads for a given project go to that project's team.
- Reassignment: if a rep is away or has not called, the team leader moves the lead.
Team leaders see their team's leads and reps see their own, according to the permissions you set.
Speed to lead: an instant WhatsApp welcome
A lead who just filled in a form still remembers the ad and what they wanted. As time passes interest fades, and they may have contacted someone else. So speed to lead matters, even when no rep is free at that moment.
The answer is an automatic WhatsApp welcome as soon as the lead arrives. Example:
"Hello {customer name}, thank you for your interest in {project or product}. I am {rep name} from {company name} and I will call you shortly. If you have a question now, just reply to this message."
Business-initiated messages must go through the official WhatsApp Business API with an approved template, with the customer's consent (given in the form itself), under Meta's rules; Meta charges for conversations per its own rate card. When the lead replies, the chat appears in the shared inbox linked to the lead.
Calling through the dialer: the new-leads list
WhatsApp is a start, but the call often makes the difference, especially in real estate, education and higher-value services. Instead of reps hunting for numbers and dialling by hand, use the auto dialer:
- Automatic "new leads" list: fresh leads are added to the calling campaign by themselves.
- Preview mode: the rep sees the lead's record and source before the call is placed.
- Allowed calling hours and a do-not-call list, so nobody is called at a bad time or against their wishes.
- Every call outcome is saved on the lead: answered, no answer, busy, asked for a later time.
If you are choosing a dialer mode, read auto vs predictive dialer.
A follow-up cadence
A lead who did not answer once is not necessarily uninterested; they were probably busy. Give the whole team one fixed cadence instead of individual habits. An example to adapt:
- On arrival: WhatsApp welcome.
- Same day: first dialer call.
- No answer: short WhatsApp message, "I tried to call you about {topic}, when suits you?"
- Next day: second call at a different time of day.
- A few days later: a useful message (catalogue, visit invitation, details from your official page).
- Final call, then close the lead with a clear reason or move it to long-term nurturing.
Make each step a task with a due date on the rep, so nobody relies on memory. Messages sent outside an open WhatsApp conversation window must use approved templates.
Lead statuses: one language for the team
Without clear statuses, reports say nothing. Use simple, agreed statuses, for example:
- New: not contacted yet.
- Attempting: tried, no answer yet.
- Contacted: spoke and there is interest.
- Qualified: has the need, budget and timing.
- Quote or visit: a clear sales step is in place.
- Won, Closed: not interested, or Closed: wrong details.
Record a reason when you close a lead as not interested. Repeated reasons tell you something about the ad, the offer or the price. Use CRM filters and labels to see any group quickly.
Reports by source and campaign
The question management cares about: which ad spend brings sales? Not just which ad brings the most leads. To answer it:
- Leads by source (Facebook, Instagram, TikTok, Google, website).
- By campaign and ad, including UTM data.
- By status: how many reached "qualified" or "won" from each source.
- By rep: who follows up fastest and who has leads sitting untouched.
All of this comes from the report builder: pick the leads source, filter, group by source or campaign, show a table or chart, and schedule it by e-mail each week.
Common lead follow-up mistakes
- Copying leads by hand from ad platforms to a spreadsheet.
- No clear owner per lead.
- First contact delayed to the next day.
- One attempt, then the lead is forgotten.
- Bulk WhatsApp from an ordinary number without templates or consent.
- Closing leads without a reason.
- Counting leads without knowing how many converted.
