How to Set Up a Call Center in Egypt Without Hardware

A step-by-step guide to setting up a cloud call center for your Egyptian company: template, lines, WhatsApp, team, IVR, queues, recording and reports.

Setting up a call center used to be a project: a PBX, servers, cabling and a technician on call. Today you can build a complete call center from the browser, with agents answering from the office or from home, without buying a single box. This guide walks through setting up a cloud call center with Klamna, whether your team is two people or twenty.

Before you start: answer four questions

  1. What will the call center do? Inbound customer service, outbound sales, or both?
  2. What are your working hours, and what happens to callers after hours: a message, voicemail or a callback?
  3. Which departments? Sales, technical support, complaints, bookings.
  4. Which channels? Calls only, or calls plus WhatsApp and website chat?

The equipment you actually need

  • Stable internet in the office or at each remote agent's home.
  • A computer and a good headset with a microphone.
  • Optional: IP desk phones if your team prefers them, or the mobile app for people on the move.

Step 1: Sign up and pick your business template

After signing up you choose your business from ready-made templates, such as customer service center, online store, clinic, real estate or shipping and delivery. In minutes the template prepares working hours, teams, canned replies, a queue, a satisfaction survey and more, all editable. You can switch business during the trial.

Step 2: Lines and numbers

Two options:

  • Connect your existing lines through a SIP trunk from your telecom provider, so customers keep calling the numbers they know.
  • Or ask our sales team about the numbers available for your company.

Then decide where each number goes: a greeting, an IVR menu or straight to a department.

Step 3: Connect WhatsApp

Many customers in Egypt would rather message than call. Connect your number through the official WhatsApp Business API or by QR code, and every conversation lands in a shared inbox with assignment, canned replies and internal notes.

Step 4: Team and permissions

  • Add users; each gets an extension.
  • Group them into teams by department and appoint team leaders.
  • Set permissions: who hears recordings, who edits settings, who sees everyone's reports.
  • Turn on attendance: when an agent takes a break, they leave the queue automatically until they return.

Step 5: IVR and working hours

Build a short IVR: "For sales press 1, for support press 2". Quick tips:

  • Three or four options are enough.
  • Put the most common choice first.
  • Record a clear, calm message.
  • Define what happens after hours and on public holidays.

Step 6: Queues

The queue is the heart of a call center. Choose a ring strategy (ring all, round robin or least busy), announce the caller's position, and decide what happens when waits get long: overflow to another team, or let the caller request a callback instead of waiting. You can also send a WhatsApp message after the call.

Step 7: Recording and quality

  • Record calls for training and dispute resolution.
  • Supervisors can listen live, whisper to the agent without the customer hearing, or barge in.
  • Use wrap-up codes to capture the reason for every call.
  • Keep your own copy with call recording backup.
  • For structured reviews use Quality scorecards.

Step 8: Reports and the wallboard

Watch live who is available, who is on a call and how many callers are waiting. Then review missed calls, waiting times, agent performance and survey results. Need a specific view? Build it yourself in the report builder.

Step 9: Test before launch

Call from different mobiles, try every IVR option, call after hours, and check that recordings and reports appear correctly. Launch with one department, then expand.

Quick checklist

  • Lines connected and calls arriving.
  • WhatsApp connected and conversations in the shared inbox.
  • Every agent has an extension and the right permissions.
  • IVR and working hours ready.
  • The queue has a plan for long waits.
  • Recording and reports working.
