Most small businesses in Egypt start managing customers with Excel, WhatsApp and a notebook. That works until the team grows a little: a customer spoke to one agent yesterday and nobody else knows, a lead from an ad is forgotten, a quote is sent and never followed up.
That is when you start looking at a CRM. The real question is not "which CRM is most famous?" but "which CRM will my team actually use every day?". This checklist helps you decide.
Why an Arabic CRM?
Your team works in Arabic and your customers write in Arabic. If the interface is English-only, or the Arabic is a weak translation, people drift back to Excel and you end up paying for software nobody opens.
The checklist: eight questions before you subscribe
1. Is the interface fully Arabic and right-to-left?
Not just the menus. Check that Arabic names are stored and searched properly, that reports and documents come out in Arabic, and that staff can switch between Arabic and English without anything breaking.
2. Do calls and WhatsApp appear on the customer record?
This matters most for Egyptian companies. Customers call you and message you on WhatsApp. If the CRM is separate from both, staff keep copying and pasting. Look for one customer timeline: calls and recordings, WhatsApp messages, notes, tasks, quotes and invoices.
Even better if the customer is recognised automatically by phone number when they call or message.
3. Can I import my Excel data easily?
You probably have spreadsheets with thousands of customers. Ask:
- Is CSV and Excel import built in?
- Can I map spreadsheet columns to fields?
- Are there custom fields for things specific to my business?
- Can I export my data again if I need to?
4. Are permissions flexible?
Should a sales rep see only their own customers? A team leader their team? Should the accountant see invoices but not delete customers? A good CRM lets you set view, create, edit and delete rights per page.
5. Does it track sales, not just names?
- Leads with their source.
- Tasks and follow-ups with due dates.
- Quotes.
- Tickets for complaints and requests, with response targets.
- Reports you can build yourself.
6. Can I pay in Egyptian pounds with local methods?
A dollar subscription means a price that moves with the exchange rate and a card that supports international payments. Look for EGP billing and local payment methods such as bank cards, Meeza and mobile wallets.
7. Is there a link to e-invoicing?
If your company is registered with the Egyptian Tax Authority e-invoice system, it helps a lot when a quote becomes an invoice in the same system and is sent to the ETA, instead of typing everything twice.
8. Is there a real free trial?
Do not buy a CRM from a slide deck. Try it with your team on real data for a week: import a sheet, make a call, answer a WhatsApp message, create a quote. If the team is comfortable, that is the strongest signal.
Common mistakes
- Choosing the biggest product on the market: large suites are very flexible but need consultants and long set-up. A small company needs something that works in the first week.
- Ignoring the phone: a CRM without calls tells only half the customer's story.
- Moving all data at once without cleaning it: remove duplicate numbers first.
- No clear owner: someone in the company must own set-up and permissions.
A one-week start plan
- Day 1: define your sales stages (lead, contacted, quote, won).
- Day 2: import customers from Excel and add custom fields.
- Day 3: connect your phone lines and WhatsApp.
- Day 4: set permissions, teams and team leaders.
- Day 5: train the team for one hour and agree that every contact is logged.
- End of week: run your first report and see who is following up.
